Yvonne Williams Coaching
What I collect, why, who else sees it, and what you can ask me to do about it. Written in plain English on purpose.

ICO registration number: [TO BE ADDED]
When you book a conversation: your name, email address, what you do and where, what prompted you to get in touch, and what you would want to be different. This comes to me through Calendly.
When you book a retreat: your name, email address, which weeks would suit you, and, if you are paying through a company, your business name and address. I never see your card details. Those go directly to Stripe and are never held by me.
During the work: notes from our sessions, and the baseline measurement taken at the start and repeated at the end.
Before you travel: the name and telephone number of your assistant and your partner, for the monitored line.
If you join my mailing list: your name and email address, held in Kit.
When you visit this website: standard server logs kept by Netlify, which include an IP address. I do not use advertising cookies and I do not sell anything to advertisers.
To do the work you have paid for. Your booking details, session notes and measurements are held because I cannot deliver the retreat or the six weeks without them. The lawful basis is performance of a contract.
To answer an enquiry. If you book a conversation and do not go on to book a retreat, the lawful basis is my legitimate interest in responding to someone who asked to speak to me. I delete these within twelve months.
To send you emails. Only if you asked for them. The lawful basis is consent, and every email carries an unsubscribe link.
To keep proper accounts. Records of what you paid are kept because the law requires it.
The baseline measurement includes heart rate variability, sleep, and questionnaires about stress and burnout. Under UK data protection law this is special category data and is treated with more care than anything else I hold.
I collect it only with your explicit consent, I use it only for your own baseline and review, and I do not share it with anyone. You can withdraw that consent at any time and I will delete it, although I cannot then show you how far you have moved.
This is coaching and psychoeducation, not medical care. I do not diagnose and I do not hold a medical record about you.
Our calls take place on Zoom, and some of our work happens in person.
I may use a notetaker to capture and summarise what we discuss, so that I can be present with you rather than writing. On a Zoom call that is Zoom’s own notetaker. In person it is Granola. Most people find the summary useful to have afterwards.
I will tell you before I use either, and you can say no. Saying no changes nothing about how we work, and you can change your mind at any point.
The notes stay with me. I do not share them with anyone.
Before a retreat I ask for the name and number of your assistant and your partner, so that the monitored line works. Those are their details, not yours to give lightly.
I use them for that purpose and nothing else, I delete them once your retreat is over, and everyone covering that line has signed a confidentiality agreement.
I am a one-person practice with a small support team. I do not sell your information and I do not share it for marketing. These are the services I use to run the business, and the only reason your information touches any of them:
| Stripe | Takes your payment and issues your invoice. Holds your card details so I do not have to |
| Calendly | Books the calls and collects what you tell me before one |
| Zoom | Hosts the calls, and takes the notes on a call where you have agreed to it |
| Granola | Takes the notes when we meet in person, where you have agreed to it |
| Microsoft 365 | My email |
| Kit | The mailing list, if you are on it |
| Dropbox | Where my files are stored |
| Asana | How I keep track of my own work |
| Intuit QuickBooks | My accounts |
| Netlify | Hosts this website |
Some of these companies are based outside the United Kingdom. Where your information leaves the UK, it is protected by the safeguards required by UK data protection law.
Enquiries that go nowhere: twelve months.
Session notes and measurements: three years after our work ends, in case you come back and we want to see where you started.
Your assistant’s and partner’s details: deleted once your retreat is over.
Payment and accounting records: six years, because the law requires it.
Mailing list: until you unsubscribe.
You can ask to see what I hold about you, to correct it, to delete it, to restrict what I do with it, to object to it, or to have it sent to you or to someone else.
There is no charge for any of this and I will answer within one month. Email me at yvonne@yvonnewilliams.coach.

Tell me first. I would rather put it right than have you take it elsewhere.
You also have the right to complain to the Information Commissioner’s Office, the UK regulator, at ico.org.uk or on 0303 123 1113. You can do that whether or not you have spoken to me.
If this policy changes, the date at the top changes with it.
